What We Mail for HOAs

We handle every type of community mailing — recurring newsletters, one-off notices, and everything in between. If your board needs it printed and delivered, we do it.

Monthly and Quarterly Newsletters

The bulk of our HOA newsletter printing work. Board updates, meeting recaps, community events, architectural review reminders, seasonal notices. Most of our HOA clients run 8.5x11 double-sided newsletters on a monthly or quarterly schedule. We store your template and address list between runs — send us the content and we handle the rest.

Board Packets and Meeting Notices

Annual meeting agendas, proxy forms, budget reports, board election ballots. First-Class postage for time-sensitive governance mailings that need to arrive within 1-3 business days of USPS handoff.

Compliance and Violation Notices

CC&R violation letters, levy increase notifications, assessment reminders. These need proof of mailing for legal records — our IMb tracking and USPS acceptance receipts provide that documentation.

Every Door Direct Mail (EDDM)

Reaching non-members in the surrounding area? USPS EDDM lets you mail to every residential address on a carrier route without a mailing list. We handle the paperwork, bundling, and facing slips. Useful for community events open to the public, HOA-sponsored local business directories, and new community outreach.

How IMb Intelligent Mail Barcode Tracking Works

Every piece we mail gets an Intelligent Mail barcode — a 65-bar USPS code that encodes mailer ID, service type request, and routing ZIP. This isn't a decorative barcode. It's the same system large commercial mailers use to track millions of pieces through the USPS network.

We include IMb tracking on every mailing at no additional cost. Scan data reports are available on request for board meeting documentation.

Mail Classes and Postage Rates

We recommend the right mail class based on what you're sending and when it needs to arrive:

USPS Marketing Mail (Bulk Rate)

• Postage: ~$0.20-$0.30/piece after presort discounts (vs. $0.73 for a First-Class stamp)
• Delivery window: 3-10 business days after USPS handoff
• Minimum quantity: 200 pieces (USPS requirement for Marketing Mail)
• Use for: Monthly newsletters, event announcements, seasonal flyers, non-time-sensitive updates

First-Class Presort

• Postage: ~$0.45-$0.55/piece with presort automation pricing
• Delivery window: 1-3 business days after USPS handoff
• Use for: Levy increase notices, board election ballots, CC&R violation letters, annual meeting packets — anything where delivery speed or proof of mailing matters

Commingling Discounts

When your mailing volume is under 5,000 pieces, we commingle your mail with other presorted jobs heading to the same destination ZIP ranges. This qualifies smaller runs for postal discounts that would otherwise require much higher volumes.

Most HOA boards don't have a graphic designer on staff. We handle that:

• Format: PDF preferred, also accept Word and InDesign packages
• Size: 8.5" x 11" standard (tabloid 11x17 available for folded newsletters)
• Resolution: 300 DPI for images
• Fonts: Embedded or outlined in the PDF

Address lists:

• Excel (.xlsx), CSV, or export from your HOA management software (AppFolio, Buildium, TOPS, etc.)
• Required fields: Name, Street Address, City, State, ZIP
• We handle CASS verification, ZIP+4 append, deduplication, and USPS address standardization
